E. Conversation Management
Manage Team Collaboration
Collaborate with only the right people that have access to your domain.
By aninditoUpdated 5 Mar 2026
Privas AI allows you to manage a domain together with your team.
You can:
- Invite collaborators
- Assign access roles
- Remove access
- Control administrative permissions
This ensures that access remains structured, secure, and appropriate for your organization.
Why This Matters
Your assistant represents your business.
Managing who can access and control it is essential.
Clear role assignment helps you:
- Protect sensitive information
- Maintain operational control
- Prevent accidental configuration changes
- Ensure accountability within your team
Access should be granted based on responsibility, not convenience.
Understanding Roles
Each collaborator has a specific role.
Roles determine what a user can see and modify.
OWNER
The Owner has full control over the domain.
The Owner can:
- Invite and remove collaborators
- Change user roles
- Modify all domain settings
The Owner cannot be removed by other admins.
This role should be assigned carefully.
DOMAIN_ADMIN
A Domain Admin can manage most operational aspects.
A Domain Admin can:
- Configure domain settings
- View and manage conversations
- Adjust widget settings
A Domain Admin cannot remove the Owner.
This role is suitable for team members who actively manage communication.
VIEWER
A Viewer has read-only access.
A Viewer can:
- View domain data
- Review conversations
A Viewer cannot:
- Change settings
- Modify roles
- Configure the widget
This role is suitable for oversight or reporting purposes.
Invite a Collaborator
To invite a team member:
- Open your Domain
- Navigate to Collaborators

- Enter the collaborator’s email address
- Select the appropriate role
- Click Send Invite
An invitation email will be sent.
The invitation remains valid for 7 days.

If it is not accepted within that time, you will need to send a new invitation.
This affects access control only.
It does not impact live conversations or AI behavior.
Managing Access
In the Access section, you can:
- View active collaborators
- View pending invitations
- Change user roles
- Remove access when necessary
Review access regularly.
Ensure that only the right people have access to your domain.
What This Affects — and What It Does Not
Managing collaborators affects:
- Who can access the domain
- Who can manage conversations
- Who can configure AI and widget settings
It does not:
- Change AI responses automatically
- Modify knowledge sources
- Interrupt live conversations
Access control is administrative, not conversational.
Once your team structure is properly configured, you can begin managing how conversations are supervised.
The next section explains how visitors can request human assistance when needed.
